Knowify + Pipeline CRM Integration

Win the job in Pipeline CRM. The client and job appear in Knowify.

You track leads and sell the work in Pipeline CRM. You cost, contract, and manage the build in Knowify. This managed connection carries your sales side into Knowify in one direction: a new lead in Pipeline CRM creates a client in Knowify, and a won deal creates a contract job under that client. No CSV exports. No re-keying the customer into two systems. No handoff that lives in someone’s head.

What gets created in Knowify

A new client

Created from a new lead in Pipeline CRM, with the company, contact name, email, phone, and address carried over.

A new contract job

Opened when a deal is won, named from the deal and valued from the deal amount, ready for costing.

Client and job linked

The job is created under the matching client, so costing starts against the right account with nothing re-typed.

Overview

At a Glance

The Knowify integration for Pipeline CRM is a managed, one-way connection that turns new Pipeline CRM leads and won deals into clients and contract jobs in Knowify. When a lead is created in Pipeline CRM, a matching client is created in Knowify, and when a deal is won, a contract job is opened under that client, named from the deal and valued from the deal amount. Pipeline Connect builds and runs the connection for you from $99/month (billed annually).

Why it matters

Winning the job shouldn’t mean re-entering it

Most contractors know this handoff: the deal closes in the CRM, then someone rebuilds the same customer and job in Knowify by hand before costing can start. Here is the busywork this connection deletes.

Doing it by hand

Every won job, entered twice

  1. Notice the deal closed in Pipeline CRM
  2. Open Knowify and create the client from scratch
  3. Retype the company, contact, email, phone, and address
  4. Create the contract job and type in the contract amount
  5. Double-check nothing was mistyped before costing starts

delayed job setup  ·  duplicate clients  ·  mismatched amounts

With Pipeline Connect

You do nothing. It’s already there

  • Client created in Knowify the moment a lead lands in Pipeline CRM
  • Company, contact, email, phone, and address carried over automatically
  • Contract job opened from the won deal, valued from the deal amount
  • Job created under the matching client, so costing starts clean
  • Connection monitored and maintained for you

no re-entry  ·  no duplicate clients  ·  job amounts that match your deals

How it works

Three steps to your first job in Knowify

1

Connect

An Admin generates your Knowify API key from your Integrations settings and shares it with us through a secure signup form. Pipeline CRM’s team handles the connection from there.

2

Map

This is a custom build, scoped to your workflow: we confirm which Pipeline CRM events should fire, new leads and won deals, and map their fields to Knowify clients and contract jobs. The defaults below cover the typical contractor.

3

Go live

New leads create clients and won deals create contract jobs in Knowify. We confirm the timeline with you up front based on your Knowify plan and scope, then turn it on after end-to-end testing.

What you need

What you’ll need to get started

Knowify gates its API to higher plan tiers, so the main thing to confirm is your Knowify plan. Here’s how the responsibility splits between you and the Pipeline CRM team during onboarding.

You provide

  • A Knowify account on the Growth or Enterprise plan. Knowify gates API access to these tiers, so it is required for this connection
  • The Knowify API key, which an Admin generates from Knowify under Customize, Integrations, API Key
  • A Pipeline CRM account where your leads and deals live
  • ~15 minutes to submit details through the secure signup form

We handle

  • The API connection and secure key handling to keep the connection live. If the key is ever rotated or access changes, we help you reconnect
  • Watching Pipeline CRM for new leads and won deals so records reach Knowify without anyone exporting them
  • Field-mapping configuration, the defaults below plus any custom fields you use
  • End-to-end testing with live test records before we turn the connection on
  • Ongoing monitoring and maintenance, with fixes if Knowify changes anything on their side
What’s created

Mark it won. The Knowify job is already set up

Your team sells the work in Pipeline CRM exactly as they do today. Everything after that is Knowify data entry your team no longer does.

Action

A deal is marked Won in Pipeline CRM

New leads create clients the same way. Nothing to export, nothing to copy over.

The client is created for youCompany, contact name, email, phone, and address land on a Knowify client. An existing client is matched first so you don’t get duplicates.
The contract job is openedA won deal creates a contract job named from the deal, with the deal amount carried in as the job value, ready for costing.
Everything lands under one clientThe job is created under the matching client record, so your project and costing side starts from the account your sales team closed.

Here is exactly what moves, field by field. Data flows one way, from Pipeline CRM into Knowify, through Knowify’s API. Field mapping is set up by the Pipeline CRM team during onboarding; the defaults below cover the typical contractor, and the exact trigger set and any custom mappings are scoped with you before the build.

Who it’s for

Who runs Knowify alongside Pipeline CRM

Scenario 1: Electrical contractor rebuilding every won job in Knowify by hand

The situation: A commercial electrical contractor sells and tracks bids in Pipeline CRM, then costs and manages the work in Knowify. Every time a bid is won, a project admin re-creates the client and sets up the contract job in Knowify from scratch, copying the company, contact, address, and contract amount out of the CRM. It is slow, and a mistyped amount throws off costing from day one.

With Pipeline Connect: The moment a deal is marked won, the client and contract job appear in Knowify with the company, contact, address, and deal amount already in place. Costing starts against the same numbers the deal was won with, and the admin skips the rebuild entirely.

Verdict: If someone rebuilds every won job in Knowify by hand, Pipeline Connect deletes that step for $99/month, and the amounts match your deals.

Scenario 2: Remodeler who wants estimators working from the same client list

The situation: A design-build remodeler captures leads in Pipeline CRM but wants estimators to start a job budget in Knowify as soon as a real lead comes in. Today the estimator waits for the client to be entered in Knowify, or enters it themselves, and the two systems drift apart on who is actually a client.

With Pipeline Connect: A new lead in Pipeline CRM creates the matching client in Knowify automatically, so estimators always start from the same client list sales is working. When the deal is won, the contract job is opened under that client with the amount already set.

Verdict: If your estimators and your sales team keep separate client lists, Pipeline Connect keeps Knowify populated from Pipeline CRM for $99/month.

Scenario 3: Contractor tired of a brittle DIY handoff

The situation: A specialty trades company wired Pipeline CRM to Knowify with a patchwork of manual steps and a fragile automation. It breaks quietly when something changes, and nobody notices until a job is missing in Knowify or a client is duplicated.

With Pipeline Connect: Pipeline CRM’s team builds and runs the connection against Knowify’s API. Our team monitors the connection and handles fixes, so nobody on your side has to troubleshoot it. Total cost: $99/month with $0 setup fee, and the plan covers up to 5 integrations, not just this one.

Verdict: If your CRM-to-Knowify handoff breaks when you least expect it, Pipeline Connect replaces it with a managed connection someone else is responsible for.

How does the Knowify integration work?

The connection watches your Pipeline CRM account for two events: a new lead and a won deal. When a lead is created in Pipeline CRM, our integration creates a matching client in Knowify through Knowify’s API, carrying over the company, contact, email, phone, and address. When a deal is marked won, it creates a contract job under that client, named from the deal and valued from the deal amount. It runs on its own once it’s live; your team keeps selling in Pipeline CRM exactly as before.

Does data flow both ways?

No, and that is by design. This integration moves data in one direction: from Pipeline CRM into Knowify. Changes you make in Knowify, such as budgets, costs, invoices, or payments, are not written back to Pipeline CRM, so Knowify stays your untouched system of record for job costing. If your workflow needs data flowing in the other direction, or a deeper sync of financial detail, that is a separate custom scope; mention it on your sales call and we will spec and quote it with you.

Do I need a specific Knowify plan?

Yes. Knowify gates API access to its Growth and Enterprise plans, and this connection uses that API, so you will need a Knowify subscription on one of those tiers. An Admin generates the API key from Knowify under Customize, Integrations, API Key and shares it with us through the secure signup form. You will also need an active Pipeline CRM subscription (plans start at $25/user/month, billed annually) where your leads and deals live.

What gets created in Knowify when I win a deal?

A won deal creates a contract job in Knowify, named from the deal and valued from the deal amount, under the client that matches the deal. If that client does not exist in Knowify yet, it is created first from the Pipeline CRM record, with company, contact, email, phone, and address. New leads also create clients on their own, so the client is usually already there by the time the deal is won.

How long does setup take?

Because Knowify’s API access depends on your plan tier and the exact trigger set is scoped to your workflow, we confirm the timeline with you up front rather than quoting a fixed number. You don’t configure anything yourself. Our team scopes the triggers with you, connects your Knowify account with the API key, maps fields, configures client matching, and tests end to end with live test records before turning it on.

What happens if a client already exists in Knowify?

The integration matches on your chosen key, typically company name or email, before creating anything, so an existing Knowify client is reused rather than duplicated. Repeat customers therefore keep a single client record in Knowify with their jobs attached to it. We agree on the exact matching rule during scoping so it mirrors how your team already organizes clients.

How is this different from wiring it up myself?

A DIY connection puts the build, maintenance, and debugging on you, and Knowify’s API is surfaced in a way that can take some setup to reach. Pipeline Connect is fully managed for $99/month: our team builds the connection against Knowify’s API, maps it specifically to how Pipeline CRM handles people and deals, monitors it, and fixes it if it breaks. There is no automation for you to maintain and no separate dashboard to log into; one bill from Pipeline CRM covers everything.
