Procore + Pipeline CRM Integration

Win the job in Pipeline CRM. The project appears in Procore.

You run preconstruction and sales in Pipeline CRM and build the work in Procore. This managed integration closes the handoff between them: when a deal reaches your won stage, a Procore project is created and named for the job, the estimated value, address, and dates carry over from your deal fields, and the client company and contacts land in your Procore directory. No CSV exports. No re-keying. No handoff meeting to schedule.

Overview

At a Glance

The Procore integration for Pipeline CRM turns a won deal into a Procore project automatically, complete with directory entries for the client company and contacts. When a deal reaches the stage you choose (most teams pick Won), the project is created in Procore within minutes, named for the job, and populated with the estimated value, start date, address, and project number from your deal fields. The flow runs one way, from Pipeline CRM into Procore, so your CRM stays the system of record for sales and Procore stays the system of record for the build. Procore is a custom build under Pipeline Connect, our managed integration add-on: our team builds the connection around your stages and fields, runs it from $99/month, and your Procore admin only has to authorize access once. Built for construction firms that sell in Pipeline CRM, build in Procore, and are tired of re-keying every job in between.

Why it matters

Winning the job shouldn’t create data entry

Every won deal triggers the same ritual: someone rebuilds in Procore what the estimator already typed into Pipeline CRM. Here is that ritual, next to what replaces it.

Doing it by hand

Every won job, every time

  1. Hear the deal closed and open Procore
  2. Create the project and retype the name, value, and dates
  3. Copy the job address and project number across
  4. Add the client company to the Company Directory, hoping it isn’t already there under a slightly different name
  5. Add each contact by hand and email the PM that it’s ready

~20 minutes  ·  retyping errors  ·  directory duplicates

With Pipeline Connect

You mark it won. That’s the whole job

  • Project created in Procore minutes after the deal hits your won stage
  • Estimated value, start date, address, and project number carried from deal fields
  • Client company matched to an existing directory vendor, or added if it’s new
  • Contacts attached to that company in the directory, never duplicated
  • Connection monitored and maintained for you

0 minutes  ·  clean directory  ·  nothing retyped

How it works

Three steps to your first automated handoff

1

Connect

Your Procore admin authorizes access to your Procore company via OAuth 2.0. Pipeline CRM’s team handles everything else through a secure intake form.

2

Map

We map your Pipeline CRM deal, company, and person fields to Procore projects and directory entries, and set the deal stage that triggers the handoff.

3

Sync

Every deal that reaches the trigger stage becomes a Procore project within minutes. Live in 5 business days from intake.

What you need

What you’ll need to get started

If your company already runs Procore, you have everything below. Here’s how the responsibility splits between you and the Pipeline CRM team during onboarding.

You provide

  • A Procore admin to authorize access to your company account. Procore gates API access behind a company admin’s approval, so this one authorization is the step only you can do
  • An active Procore account for the company the projects should be created in
  • Your handoff rules: which deal stage triggers a project, and which deal fields hold the job address and project number
  • ~15 minutes to submit details through the secure intake form

We handle

  • The OAuth 2.0 connection and token refresh to keep the connection live. If access is ever revoked, we help you reconnect
  • The custom build: your deal, company, and person fields mapped to Procore projects and directory entries, around the stages you already use
  • Trigger configuration so only the deals you choose become Procore projects
  • End-to-end testing with a live test deal before we flip the integration on
  • Ongoing monitoring and maintenance, with fixes if Procore changes anything on their side
What syncs

Mark it won. The project is already set up

One thing has to happen: a deal reaches your won stage. Everything your team used to rebuild in Procore is created for them.

Action

A deal hits Won in Pipeline CRM

That’s it. Nobody opens Procore to set anything up.

The Procore project is created and named for the jobEstimated value, start date, job address, and project number land on the project record, straight from your deal fields.
The client company lands in your Company DirectoryMatched to an existing vendor by name first, created only if it’s genuinely new, so the directory stays clean.
Your contacts are attached and the PM can startThe people on the deal become directory contacts linked to their company. The project is workable the day you win it.

Here is exactly what moves, field by field. This is a custom one-way build: data flows from Pipeline CRM into Procore within minutes of the deal reaching the trigger stage, and nothing writes back into your CRM. The mapping below is the standard starting point; the Pipeline CRM team tailors it to your fields during your 5-business-day onboarding.

Pipeline CRM fieldCreates in ProcoreNotes
deal.nameProject: Name (projects.name)Project created when the deal reaches the trigger stage you choose (default: Won). One deal = one project.
deal.valueProject: Estimated Value (estimated_value)Your preconstruction number carries into Procore project reporting.
deal.expected_close_dateProject: Start Date (start_date)Default mapping; a custom kickoff-date field can be mapped instead.
deal custom field (job address)Project: Address (address, city, state_code, zip)Mapped from the custom fields your estimators already fill in.
deal custom field (project number)Project: Project Number (project_number)Optional. Set it in Pipeline CRM and it rides along.
company.nameCompany Directory: Vendor (vendors.name)Matched to an existing vendor by name first; created only if no match exists.
person.first_name / last_name / emailDirectory: Contact on that vendor (users.first_name, last_name, email_address)Your client contacts land in the Procore directory, linked to their company.
person.phoneDirectory: Contact phone (users.business_phone)When Pipeline CRM has it.
Who it’s for

Who runs the Pipeline CRM to Procore handoff

Scenario 1: Commercial GC whose PMs rebuild every won job

The situation: A 45-person commercial general contractor runs preconstruction in Pipeline CRM. When an estimator wins a bid, a project coordinator gets an email, and sometime in the next day or two rebuilds the whole thing in Procore: project, value, address, client company, contacts. Jobs regularly sit won-but-invisible to the field team for days.

With Pipeline Connect: The moment the deal is marked won, the Procore project exists, named and numbered, with the client company and contacts already in the directory. The PM gets a workable project the same day the job is won, and the coordinator gets those hours back.

Verdict: If won jobs wait on a person to retype them into Procore, Pipeline Connect deletes the wait for $99/month.

Scenario 2: Specialty contractor drowning in directory duplicates

The situation: A 30-person roofing contractor wins 15 to 20 jobs a month, many for repeat clients. Every manual handoff re-creates the client in Procore’s Company Directory, so the same property manager exists four times under four spellings, and nobody trusts the directory enough to use it.

With Pipeline Connect: The integration matches the client company to an existing directory vendor by name before it ever creates one, and attaches contacts to that vendor. New jobs for repeat clients reuse the same clean directory entry instead of minting another duplicate.

Verdict: If your Procore directory is where client data goes to fork, an automated handoff that matches before it creates is the fix.

Scenario 3: Design-build firm replacing the Friday CSV ritual

The situation: A 70-person design-build firm batches the handoff: every Friday, an ops manager exports won deals from Pipeline CRM to a spreadsheet, massages the columns, and creates the week’s projects in Procore. A job won on Monday starts existing on Friday, and one mangled column means a project with the wrong value or a missing address.

With Pipeline Connect: Each deal becomes a Procore project within minutes of being won, mapped field to field by a tested build instead of a hand-edited spreadsheet. The Friday ritual, and the errors it produced, go away entirely.

Verdict: If your handoff is a weekly export, Pipeline Connect turns it into a per-deal automation for $99/month, with setup handled for you.

Frequently asked questions

Can’t find what you need? Contact our team.

How does the Procore integration work?

When a deal in Pipeline CRM reaches the stage you choose (most teams pick Won), the integration creates the matching project in Procore within minutes: named for the job, with the estimated value, start date, job address, and project number filled from your deal fields. The client company is matched to an existing Company Directory vendor or added if it’s new, and your contacts are attached to it. The connection is a custom build by the Pipeline CRM team: your Procore admin authorizes access once via OAuth 2.0, and we build, run, and maintain the integration for you as part of Pipeline Connect.

Which direction does the data flow?

One way, from Pipeline CRM into Procore. Winning a deal creates and populates the Procore project and directory entries; nothing on this build writes back into Pipeline CRM, so your CRM stays the system of record for sales and Procore stays the system of record for the build. If you also want Procore data flowing back into Pipeline CRM, that’s scoped separately as a custom project: tell us what you need on your sales call and we’ll quote it.

What do I need on the Procore side?

An active Procore account and a Procore admin to authorize access to your company account. Procore gates API access behind a company admin’s approval, so that one authorization is the only step our team can’t do for you. There’s nothing to install in Procore and no configuration to maintain on your side; once access is granted, the Pipeline CRM team handles the build, testing, and ongoing maintenance.

Can I choose which deals become Procore projects?

Yes. The trigger is a deal stage you pick, and because this is a custom build we can scope it further during onboarding: only deals in a specific pipeline, only deals above a value threshold, or only deals with a particular custom field set. That keeps small add-on work or non-construction deals from creating projects you don’t want in Procore.

What happens when the client already exists in our Procore directory?

The integration matches before it creates. The client company on the deal is matched to an existing Company Directory vendor by name first, and a new vendor is created only when no match exists. Contacts are attached to that vendor the same way. Repeat clients reuse their existing directory entry, so winning a fifth job for the same property manager doesn’t mint a fifth copy of them in Procore.

How long does setup take?

Pipeline Connect goes live in 5 business days from the moment your Procore admin authorizes access and you submit your handoff rules through the secure intake form. You don’t configure anything yourself. Our team builds the field mapping around your stages and fields, configures the trigger, and runs an end-to-end test with a live test deal before flipping the integration on.

How is this different from Zapier or building it myself on the Procore API?

Both of those put the setup, maintenance, and debugging burden on you. Procore’s API is well documented, but a reliable handoff still means handling OAuth 2.0, directory matching so you don’t create duplicate vendors, and upkeep when something changes, and with Zapier you’re paying a separate subscription to maintain that zap yourself. Pipeline Connect is fully managed from $99/month: our team builds the integration around your fields, tests it, and monitors the connection and handles fixes. One bill from Pipeline CRM covers everything. If you have developers and prefer to build on our public API instead, that path is available too.
