Housecall Pro + Pipeline CRM Integration
Every Housecall Pro customer and job flows into Pipeline CRM. Automatically.
Your crew runs the day in Housecall Pro. Your sales pipeline lives in Pipeline CRM. Right now someone in the office keys the same customer into both. With Pipeline Connect, the moment a customer or job is created in Housecall Pro it shows up in Pipeline CRM within minutes. The customer syncs as a person, their company and service address come along, and a deal is created and valued from the job. No CSV exports. No brittle Zapier zap. No double entry.

What lands in Pipeline CRM
Name, email, and phone from the Housecall Pro customer, plus their company and service address.
Created and named for the job, valued from the job total, with source set to “Housecall Pro”.
The scheduled job date is logged as an activity on both the person and the deal.
At a Glance
The Housecall Pro integration is a managed, one-way connection that turns every new Housecall Pro customer and job into a complete Pipeline CRM record. The customer lands as a person (deduplicated on email, so an existing contact is updated, not duplicated), their company and service address come along, and a deal is created and valued from the job. It is event-driven: new customers and jobs arrive as they happen, usually within minutes. Pipeline Connect builds and runs it for you from $99/month, so your office stops entering the same customer into two systems. Built for home-service and trades businesses that dispatch in Housecall Pro and sell in Pipeline CRM.
Five manual steps, or none
The clearest way to see what a managed integration is worth: the busywork it deletes for your office, next to what it makes automatic.
Doing it by hand
Every customer, every job
- Read the new-customer or new-job alert from Housecall Pro
- Retype the name, email, and phone into Pipeline CRM
- Copy the company and service address across
- Create a deal and pull the job total onto it as the value
- Set the source and log the scheduled job
~7 minutes · duplicate contacts · jobs missing from the pipeline
With Pipeline Connect

- Company and service address mapped to the right fields
- Deal built and valued from the job total
- Scheduled job logged as an activity on both records
- Connection monitored and maintained for you, and we help you reconnect if access ever changes

What you’ll need to get started
One prerequisite matters most, so we state it first. Here is how the responsibility splits between you and the Pipeline CRM team during onboarding.
You provide
- A Housecall Pro MAX plan. Their API and webhooks are limited to that tier, and this integration needs both. If you are not on MAX, we will scope your options together on a call, but there is no way to bypass the plan requirement
- An admin API key from your Housecall Pro account so we can connect (generated in Housecall Pro by an account admin)
- A Housecall Pro account actively creating customers and jobs
- ~15 minutes to submit your API key through a secure onboarding form
We handle
- API connection and secure key storage to keep the connection live. If access is ever revoked or your key changes, we help you reconnect
- Webhook subscription with Housecall Pro so new customers and jobs arrive as they happen
- Field-mapping configuration, default mapping plus any custom fields you use
- End-to-end testing with a live test record before we flip the integration on
- Ongoing monitoring and maintenance, with fixes if Housecall Pro changes anything on their side
A customer or job is created. The record builds itself
One thing happens in Housecall Pro: your team adds a customer or a job. Everything after that is work your office no longer does.
Action
A new customer or job in Housecall Pro
That’s it. No alert to action, nothing to copy over.
Here is exactly what moves, field by field, one way from Housecall Pro into Pipeline CRM. Field mapping is set up by the Pipeline CRM team during your 5-business-day onboarding; the defaults below cover the vast majority of Housecall Pro setups, and custom mappings are available on request.
| Housecall Pro field | Maps to in Pipeline CRM | Notes |
|---|---|---|
| customer.first_name + last_name | Person: First Name + Last Name | Created when a customer is added in Housecall Pro; updated when the customer is edited |
| customer.email | Person: Email | Dedup key. An existing person is updated, not duplicated |
| customer.mobile_number | Person: Phone | Falls back to the home or work number when mobile is empty |
| customer.company | Company: Name | The person is linked to the company record; created if it is new |
| customer.addresses[] | Person / Company: Address | Street, city, state, and zip from the customer’s service address |
| job.description + job number | Deal: Name | Format: “Housecall Pro: {job description} – #{job number}” |
| job.total_amount | Deal: Value | The job total; updates on the deal when the job amount changes |
| job.schedule.scheduled_start | Activity: date on person and deal | The scheduled job date is logged as an activity |
| (generated) | Deal: Source | Literal: “Housecall Pro”. For source-of-deal attribution |
Who runs Housecall Pro into Pipeline CRM
Scenario 1: HVAC company where new installs never reach the sales pipeline
The situation: A 15-tech HVAC company books installs and service calls in Housecall Pro all day. The office manager is supposed to re-enter each new customer into Pipeline CRM so the sales side can follow up on system replacements, but by Friday there is a backlog and half the jobs never make it in. The owner cannot see which quoted jobs are still open.
With Pipeline Connect: The moment a customer or job is created in Housecall Pro, the customer syncs as a person with their service address, a deal is created and valued from the job total, and the scheduled job is logged. The sales team sees every new opportunity in Pipeline CRM without anyone re-keying it.
Verdict: If jobs pile up in Housecall Pro faster than the office can copy them over, Pipeline Connect closes the gap for $99/month and every job shows up as a real deal.
Scenario 2: Plumbing firm whose estimates never turn into tracked deals
The situation: A regional plumbing firm sends dozens of estimates a week from Housecall Pro. The techs move on to the next call, and the estimates that do not close same-day are forgotten. Because none of them live in Pipeline CRM, there is no follow-up cadence and no way to forecast the pipeline.
With Pipeline Connect: Every new customer and job flows into Pipeline CRM as a valued deal, so the sales manager can build follow-up on open estimates and see the full pipeline. The record exists as soon as the job is created, whether or not a tech touches the CRM.
Verdict: If estimates go out but never become tracked deals, Pipeline Connect makes the record automatic for $99/month so your pipeline reflects the work your crew is actually quoting.
Scenario 3: Multi-location field-service company replacing a broken Zapier zap
The situation: A field-service company with three branches uses a Zapier zap to push Housecall Pro customers into Pipeline CRM. The zap silently stops whenever a field is renamed, and nobody notices until a rep asks why new customers are missing. Their Zapier plan runs about $50/month, and debugging costs their operations lead a few hours each time.
With Pipeline Connect: Pipeline CRM’s team sets up and maintains the integration. Our team monitors the connection and handles fixes, so nobody at any branch has to troubleshoot it. Total cost: $99/month with $0 setup fee.
Verdict: If you are paying for Zapier and still losing customers when it breaks, Pipeline Connect costs about $50 more per month but includes setup, monitoring, maintenance, and 4 more integrations of your choosing.
Create the customer or job in Housecall Pro and it is already a valued deal in Pipeline CRM, ready for your sales team to work.

How does the Housecall Pro integration work?
When your team creates a customer or job in Housecall Pro, our integration receives the event from Housecall Pro and creates the records in Pipeline CRM, usually within minutes. The customer’s name, email, and phone go on a new person record (existing contacts are matched on email and updated, not duplicated), and their company and service address come along. Each job becomes a deal named for the work, valued from the job total, with source set to “Housecall Pro”, and the scheduled job date is logged as an activity on both the person and the deal. The flow runs one way, from Housecall Pro into Pipeline CRM, so your office stops entering the same customer twice.
Do I need a specific Housecall Pro plan?
Yes. This integration requires a Housecall Pro MAX plan. Housecall Pro limits both API access and webhooks to the MAX tier, and this integration uses both to sync your customers and jobs as they happen. If you are not on MAX, we will look at your options together on a sales call, but there is no way for us to bypass the plan requirement, so a MAX plan is a hard prerequisite. Everything else about setup is handled by the Pipeline CRM team.
Is the sync one-way, or can data flow back into Housecall Pro?
The standard connection is one-way: new customers and jobs flow from Housecall Pro into Pipeline CRM. That covers the most common need, which is getting the work your crew books into your sales pipeline without re-keying. If you need records to flow in both directions, or need changes in Pipeline CRM to update Housecall Pro, that is a custom scope with conflict handling to consider, and we quote it on a call rather than list a fixed price.
How fast do new customers and jobs show up in Pipeline CRM?
The integration is event-driven. Housecall Pro notifies us as soon as a customer or job is created or updated, and the matching record appears in Pipeline CRM shortly after, usually within minutes. There is no overnight batch and nothing for your team to trigger. This is why a MAX plan is required, since Housecall Pro only offers the webhooks that make event-driven sync possible on that tier.
How long does setup take?
Pipeline Connect goes live in 5 business days from the moment you submit your Housecall Pro admin API key through our secure onboarding form. You don’t configure anything yourself. Our team handles the full setup: connecting your Housecall Pro account, subscribing to the customer and job webhooks, mapping fields, configuring deduplication and deal valuation, and end-to-end testing with a live test record. Most customers see their first Housecall Pro customer syncing within a week of signing up.
How is this different from Zapier or building it myself?
Zapier and a do-it-yourself build both put the setup, maintenance, and debugging burden on you. You build the connection, you patch it when a field changes, and you usually find out it broke from your reps. Pipeline Connect is fully managed for $99/month. Our team builds the integration to a tested template, maps it specifically to how Pipeline CRM handles people, companies, deals, and activities, monitors it, and fixes it if it breaks. There is no Zapier subscription, no zap to maintain, and no third-party dashboard to log into. One bill from Pipeline CRM covers everything. If you already have a developer and prefer to build against Housecall Pro’s public API yourself, that path is open to you too.
Is my data secure?
Yes. Your Housecall Pro admin API key is submitted through a secure onboarding form and stored with industry-standard secrets management. The integration runs on isolated infrastructure per customer. Your data flows directly from Housecall Pro into your Pipeline CRM account with no third-party data warehouse in between. Pipeline CRM’s team follows security best practices for credential handling. If you want to rotate your API key at any time, contact support through Pipeline CRM live chat and we will redeploy the integration with the new key.
