How billing works

A prepaid balance that tops itself up

An admin sets this up once in Account settings, under Phone. Nothing is charged until you confirm the summary.

  1. Make an initial deposit

Pick a preset or enter your own amount. Start above $10, or your first call triggers a recharge.

  2. Set your auto recharge

When the balance reaches $10, we charge your recharge amount (at least $20) and add it, so calls are not cut off. A $100 recharge takes $10 to $110.

  3. Set a monthly spend alert

Optional, $500 by default. Every admin gets an email the first time the month’s usage passes it. Calls keep working.

  4. Keep or turn off recording and transcription

Both are included in the per-minute rate. You can turn them off for the whole account at any time; the price stays the same.

  5. Review and confirm

You see what is charged today, then the card on file pays the deposit. Every deposit and recharge gets an invoice, in Phone and in Billing.

What a month looks like

Example: a $100 deposit, a $100 recharge, and about $7 of calls a day.

How much does Pipeline Phone cost?

Pipeline Phone is pay as you go. Incoming calls cost 2.5¢ a minute and outgoing US calls 3¢ a minute, with recording and transcription included. Each phone number is $2.00 a month. There is no per-user fee.

Is there a per-user or monthly fee?

No. You pay for the minutes you use and $2.00 a month for each phone number. That is the only recurring charge.

What does “on your cell” mean?

Most calls run through the dialer in your browser. Any minute you spend on your mobile instead costs 1.5¢ extra: answering an incoming call on your cell, placing a call with Connect to Mobile, moving a live call to your cell, or a teammate picking up on theirs. The other side of the call is charged at the normal rate. For example, a 10 minute outgoing call costs 30¢ in the browser and 45¢ on your cell. The cell number on a rep’s profile must be a US number.

How are minutes counted?

Per started minute, so a 20 second call is 1 minute and a 2 minute 5 second call is 3. Outgoing calls count from the moment the other person answers, so an unanswered call costs nothing. Incoming calls count from the moment the call reaches your number, so ringing time, missed calls and voicemails are billed as incoming minutes.

How are phone numbers billed?

Each number is $2.00 a month, charged in full on the day you add it and on the same date every month after. Fees are not prorated, so a number removed partway through a month is not refunded for that month.

Are recording and transcription included?

Yes, in the per-minute rate. You can turn them off for the whole account, but that does not change the price. Turning on recording requires accepting a legal disclaimer, and callers hear a short announcement that the call is recorded.

How does the prepaid balance work?

An admin makes an initial deposit when setting up Pipeline Phone. Calls and phone numbers are paid from that balance as you use them. When it reaches $10, your recharge amount (at least $20) is charged to the card on file and added, so calls are not cut off. Every deposit and recharge gets an invoice.

Can I cap how much we spend?

You can set a monthly spend alert. It defaults to $500, and every admin gets an email the first time the month’s usage passes it. It is an alert, not a limit, so calls keep working. You can change the recharge amount and the alert at any time.

Can I call other countries?

Pipeline Phone gives you US numbers. You can call US and Canadian numbers at 3¢ a minute, and take calls from any country at 2.5¢ a minute. Calling numbers in other countries isn’t available yet.

Can I keep my existing business number?

Not from the app yet. Contact Customer Care and we’ll check whether your number can move to Pipeline Phone.

Do I need a Pipeline CRM subscription?

Yes. Pipeline Phone works on every Pipeline CRM plan with an active subscription. Accounts on a free trial can’t start Phone billing.

What happens to my balance if I cancel?

When you cancel Pipeline Phone, any unused balance comes back to you within 30 days, minus charges still pending for calls or numbers you’ve already used. If the invoice isn’t paid yet, we reduce what’s due. If it was paid by card, we refund it. If it was paid another way, such as a bank transfer, we add it as credit on your account. Phone number fees already charged aren’t refunded, and promotional credit isn’t refundable.

Do the prices include sales tax?

No. Prices don’t include sales tax or any regulatory fees that apply. Where they apply, they’re added to your invoices.

Can I call 911 or other emergency numbers?

No. Pipeline Phone does not support emergency calls and is not a replacement for a telephone service. Keep another way to reach emergency services.

Can the rates change?

Yes. Rates are set by us and change only on purpose. If a rate goes up, we email every admin at least 30 days before the new rate applies. This page always shows the current rates and the date they took effect.

Why register our business?

US phone rules require carriers to know which business is behind every call, and registration is how that check happens. It also keeps your numbers from showing as spam on the phones you call. Approval takes about 3 days, and it asks for basic details such as your EIN, address and website. Calling works before approval, but registering first is strongly recommended.
