If you’re already collecting leads through Jotform, you almost certainly have everything below. Here’s how the responsibility splits between you and the Pipeline CRM team during onboarding.

- A Jotform account with at least one live form. Any Jotform plan works, including the free tier; Jotform makes webhooks available on every plan
- Your Jotform API key, created in Jotform under Settings → API, so we can register the webhook and read submissions

How does the Jotform integration work?
We register a webhook on your Jotform form, so the moment someone submits, Jotform pushes the submission to the integration in real time and the records are created in Pipeline CRM. The submitter’s name and email go on a new person record (existing contacts are matched on email and updated, not duplicated), and phone or company come along too if your form collects them. A deal is created and named “Jotform: {form title} – {submitter name}” with source “Jotform”. The full set of answers is logged on the person and the deal as an activity, human-readable and dated. The whole flow happens in seconds, so your reps stop retyping form responses from notification emails.
Do I need a paid Jotform plan?
No. Jotform makes webhooks available on every plan, including the free tier, so the integration works whatever you pay Jotform. One nuance: Jotform’s daily API request limits scale with your plan tier, which only matters at very high submission volume. If your forms take thousands of submissions a day, we will flag it during onboarding and confirm your Jotform plan can keep up.
What happens if the same person submits twice?
Contacts are matched on email address. When someone submits a second time, their existing person record is updated rather than duplicated, and the new submission’s answers are still logged on the record so nothing is lost. Whether a repeat submission should also create a new deal (useful for repeat quote requests) or update the existing one is configurable, and our team sets it up to match how your sales process works during onboarding.
How long does setup take?
Pipeline Connect goes live in 5 business days from the moment you share your Jotform API key through our secure onboarding form. You don’t configure anything yourself. Can you map my custom questions and hidden UTM fields?
Yes. The default mapping covers name, email, phone, and company, but Jotform forms rarely stop there. If your form captures additional information (project type, budget, team size, and so on), our team will map those questions to Pipeline CRM custom fields during setup. Hidden fields work too: if your form uses hidden fields to capture UTM parameters from the link URL, those values map to custom fields on both the person and the deal, so campaign attribution lands in the CRM with every lead. Share a link to your form during your sales call and we will spec the mapping before provisioning starts.
Is my data secure?
Yes. Your Jotform API key is submitted through a secure onboarding form and stored with industry-standard secrets management. The integration runs on isolated infrastructure per customer. Submission data flows directly from Jotform into your Pipeline CRM account with no third-party data warehouse in between. Pipeline CRM’s team follows security best practices for credential handling.
