PandaDoc + Pipeline CRM Integration

Your proposal gets signed. Your pipeline already reflects it.

When a proposal, quote, or contract changes status in PandaDoc, the matching deal in Pipeline CRM updates by itself. A completed document can advance the deal stage, the proposal’s grand total can set the deal value, and an activity records exactly which document was signed. Your reps stop babysitting PandaDoc to find out what closed.

What updates in Pipeline CRM

Deal updated on completion

When a document reaches completed status, the matched deal’s stage or status moves forward automatically.

Matched to the right person

The recipient email is matched to the existing person in Pipeline CRM, so nothing lands on the wrong record.

Value, date, and activity logged

The proposal’s grand total, the completion date, and the document name land on the deal for clean reporting.

Overview

At a Glance

The PandaDoc integration is a one-way flow: document events travel from PandaDoc into Pipeline CRM, not the other direction. When a document changes status in PandaDoc (sent, viewed, completed, paid, or declined), Pipeline Connect matches it to the right person by recipient email and updates the linked deal. On completion, the deal can auto-advance its stage, the proposal’s grand total can set the deal value, the completion date and document ID are written to custom fields, and an activity logs the document name. The Pipeline CRM team builds and runs the connection for you as part of Pipeline Connect, so there is no Zapier subscription and nothing for you to maintain. Built for sales teams that send proposals and quotes through PandaDoc and want the pipeline to reflect every signature, and every declined document, without anyone retyping a thing.

Why it matters

Five manual steps, or none

Every proposal you send creates a small follow-up job nobody owns. Here is that job by hand, next to what the integration makes automatic.

Doing it by hand

Every proposal, every time

  1. Refresh the PandaDoc dashboard to see who signed, who viewed, who went quiet
  2. Hunt down the matching deal in Pipeline CRM
  3. Move the stage forward and update the deal value from the pricing table
  4. Log an activity noting which document was signed and when
  5. Repeat for the declined and expired ones, if anyone remembers

~5 minutes  ·  missed signatures  ·  deal values that drift

With Pipeline Connect

You do nothing. It’s already done

  • Deal found and updated the moment the document status changes
  • Proposal grand total written to the deal value, straight from the pricing table
  • Completion date and document ID stored in custom fields
  • Declined and voided documents logged too, so no one chases a dead proposal
  • Connection monitored, and we help you reconnect if access ever changes

0 minutes  ·  nothing missed  ·  a pipeline that matches reality

How it works

Three steps to documents that update your deals

1

Connect

Submit your PandaDoc production API key through the secure intake form. The Pipeline CRM team handles the connection and the webhook subscription for you.

2

Map

We map document statuses to your deal stages and fields: which status advances a deal, where the grand total lands, and where the completion date is stored.

3

Sync

Document events flow into Pipeline CRM and update the matching deals automatically. Reps stop checking PandaDoc to see what got signed.

What you need

What you’ll need to get started

PandaDoc gates its production API by plan, so this connection is set up as a custom build within Pipeline Connect. It still runs on the standard $99 plan. Here is how the work splits between you and the Pipeline CRM team during onboarding.

You provide

  • A PandaDoc plan with production API access (Enterprise tier). PandaDoc limits its production API to Enterprise plans, and you request the production key from PandaDoc.
  • PandaDoc admin access so you can generate that key and approve the connection during setup
  • Deals in Pipeline CRM whose contacts match your document recipients by email, so documents land on the right deal
  • ~15 minutes to submit credentials through the secure intake form

We handle

  • API connection and webhook subscription setup so document status changes arrive in real time
  • Matching logic and field mapping from document events to the right person, deal, and custom fields
  • Grand-total-to-deal-value mapping, including how currency is recorded, agreed with you during onboarding
  • End-to-end testing with a live test document before we flip the integration on
  • Ongoing monitoring and maintenance, with fixes if PandaDoc changes anything on their side
What syncs

A proposal gets signed. The deal already knows

One thing has to happen: your customer completes the document. Everything after that is work your team no longer does.

Action

A proposal is completed in PandaDoc

That’s it. No dashboard to refresh, no pricing table to copy over.

The matching deal is found and advancedThe recipient email is matched to the existing person, and the linked deal moves to the stage you chose during onboarding. No duplicate is created.
The proposal value lands on the dealThe document’s grand total, taken straight from its pricing table, can set or update the deal value so forecasts reflect what was actually quoted.
The paper trail writes itselfThe completion date and PandaDoc document ID are stored in custom fields, and an activity logs the document name and status change.

Here is exactly what moves, field by field, in one direction: from PandaDoc into Pipeline CRM. Events arrive in real time through PandaDoc webhooks. Field mapping is set up by the Pipeline CRM team during onboarding; the defaults below cover most PandaDoc setups, and custom mappings are available on request.

Who it’s for

Who runs PandaDoc into Pipeline CRM

Scenario 1: Commercial contractor whose signed proposals sit unnoticed

The situation: A 50-person commercial roofing company sends project proposals through PandaDoc. Once a proposal goes out, the estimator refreshes the PandaDoc dashboard between site visits to see whether the client signed, then goes back into Pipeline CRM to advance the deal and update its value. Signatures sit for hours, and crews get scheduled a day later than they could be.

With Pipeline Connect: The moment the proposal is completed in PandaDoc, the matched deal advances to the signed stage, the grand total from the pricing table lands on the deal value, and an activity logs which proposal closed it. The estimator sees it in Pipeline CRM without opening PandaDoc.

Verdict: If signed proposals sit unnoticed while your team refreshes PandaDoc between jobs, Pipeline Connect closes that gap for $99/month, so a signature turns into scheduled work the same hour it lands.

Scenario 2: Agency whose forecast never matches what was actually quoted

The situation: A 25-person marketing agency builds quotes in PandaDoc with pricing tables that change during negotiation. The deal value in Pipeline CRM is whatever the account manager typed weeks ago, so the forecast is built on stale numbers, and closed work stays open in the pipeline until someone remembers to update it.

With Pipeline Connect: When the client completes the quote, the deal updates automatically: the final grand total from the signed document becomes the deal value, the completion date is written to a custom field, and the stage advances. The forecast reflects what was actually signed, not what was estimated.

Verdict: If your deal values drift from your real quotes every time a pricing table changes, Pipeline Connect keeps them honest for $99/month, straight from the signed document.

Scenario 3: Equipment dealer reconciling documents against the CRM by hand

The situation: A 40-person industrial equipment dealer runs a steady volume of quotes and sales agreements through PandaDoc. Sales ops spends part of every day cross-referencing PandaDoc against Pipeline CRM: which documents completed, which were declined, which expired, and whether every deal reflects it. It is repetitive work that still misses things.

With Pipeline Connect: Every document status change flows into Pipeline CRM and updates the matched deal. Completed agreements advance deals, declined and cancelled documents are logged as activities, and there is nothing left to reconcile because the pipeline was never allowed to fall behind.

Verdict: If your team spends hours a week reconciling PandaDoc against the CRM, Pipeline Connect removes that busywork for $99/month, and the Pipeline CRM team builds and runs the connection for you.

The bottom line
~5 min
saved on every signed proposal

The moment a proposal is signed, the deal is updated and the value is on the record.

How does the PandaDoc integration work?

PandaDoc pushes document events to Pipeline Connect through its webhook system the moment a document changes status. We match the event to the existing person in Pipeline CRM by recipient email and update the linked deal. When the document is completed, the deal can advance its stage, the proposal’s grand total can set the deal value, the completion date and document ID are written to custom fields, and an activity logs the document name. It is a one-way flow: PandaDoc updates Pipeline CRM, so your reps stop checking PandaDoc to see what got signed.

Do I need a specific PandaDoc plan?

Yes. You need a PandaDoc plan with production API access, which PandaDoc limits to its Enterprise tier. PandaDoc’s sandbox API is available more broadly, but it is restricted to test data and rate-limited, so a live integration that handles your real documents requires the Enterprise production key. Because of that plan gate, we set this up as a custom build within Pipeline Connect. It still runs on the standard $99 plan, and our team handles the connection and webhook setup for you once you have the key.

Which direction does the data flow?

One way. PandaDoc events flow into Pipeline CRM, not the other direction. The integration listens for document status changes in PandaDoc and updates the matching person and deal in Pipeline CRM. It does not create or send documents from Pipeline CRM back into PandaDoc. This keeps the design simple and reliable: PandaDoc remains the system where documents are built and signed, and Pipeline CRM reflects the outcome automatically.

Can a completed PandaDoc document move my deal to a Won stage?

Yes. When a document reaches completed status (or paid, if you collect payment through PandaDoc), the integration can auto-advance the matched deal to the stage you choose, including a Won stage. You decide which statuses advance a deal and which stage each one lands in, and we configure that mapping during onboarding. If you prefer a signature to update a status field rather than move the stage, that is supported too.

Does the proposal value from my pricing table update the deal?

Yes. PandaDoc document events include the document’s grand total, the final number from its pricing table after edits and negotiation. The integration can write that amount to the deal value in Pipeline CRM, so your forecast is built on what was actually quoted and signed rather than an estimate someone typed in weeks earlier. If you would rather keep deal values manual, we simply leave that mapping off during onboarding.

How is this different from Zapier?

Zapier puts the setup, maintenance, and debugging burden on you. You build the zap, you manage the PandaDoc API key and webhook configuration, you patch field changes, and you find out it is broken from your reps. Pipeline Connect is fully managed for $99/month. Our team builds the integration, sets up the webhooks, monitors it, and fixes it if it breaks. There is no Zapier subscription, no zap to maintain, and no third-party dashboard to log into. One bill from Pipeline CRM covers everything. If you have a developer who prefers to build with our public API, that path is available too.

Is my data secure?

Yes. Your PandaDoc API key is submitted through a secure intake form and stored with industry-standard secrets management. The integration runs on isolated infrastructure per customer. Document events flow directly from PandaDoc into your Pipeline CRM account with no third-party data warehouse in between. If you want to rotate your key at any time, contact support through Pipeline CRM live chat and we will redeploy the integration with the new credentials.
